Minutes of the Berkeley Go Club Board Meeting

April 23, 2006

Attendance: Ken Pelter called the meeting to order at 5:20 pm. Board members Ted Christen, Mark Harris, Ken Pelter, and Roger Schrag were present, constituting a quorum. Ron Goldberg was absent.

 

Agenda: No formal agenda was prepared in advance of the meeting. Ken identified several topics that he wanted to discuss, and we simply progressed through this list.

 

Petty cash theft: The petty cash canister was stolen from the club sometime between April 18 and April 20, possibly while the door to the club room was being painted. Approximately $17 was stolen. Ken and Mark will talk offline about ways to reduce the theft risk, such as keeping less cash in the can or somehow attaching the can to a fixture.

 

Financial report: Ken reported that the club’s bank account balance is $1,613. This is after paying $150 in corporation fees to the state and $74 for the post office box rental for another 12 months. Some annual memberships are coming due for renewal soon.

 

Nonprofit status: Ken reported that California has accepted the club’s request for status as a mutual benefit corporation. The approval came in early April. We are still waiting for a decision from the IRS.

 

Recruitment campaign: The Monday night events at Games of Berkeley have been bringing some new people to the club. Also, Ken plans to hold another beginners tournament in June—this one to be AGA rated. Ken also wants to hold an AGA rated tournament by the end of the year that is open to all players (not just beginners).

 

Educational outreach: No action has been taken so far this year in this area. Ken wants to do something active in the schools as far as teaching Go, but neither he, nor Herb, or Tyler have the time for this right now.

 

Sustainability: The club needs approximately 23 full members in order to be self-sustaining. Right now there are only 13 full members (including members at the sponsorship level). The club needs more full members and/or grants in order to be financially self-sustaining.

 

info@berkeleygoclub.org email: At a previous board meeting it was agreed that board members would take turns answering the email that comes in to the info@ address, three board members each handling this task for four months of the year. Mark handled this for the first four months of 2006, and it was agreed that Roger would take on the next four months. Roger will work with Jason to get the email alias redirected to forward to Roger instead of Mark.

 

Scheduled board meetings: A suggestion was made for the board to meet monthly according to a schedule that is planned in advance, and this seemed agreeable to all. A motion was made, seconded, and passed unanimously by the four board members present at the meeting:

 

The board of directors shall meet regularly on the fourth Sunday of each month at 5:00 pm at the club. At any time any board member may propose that the date of a future board meeting be changed because of a holiday, schedule conflict, or any other reason. The board members will work together in this case to try to come up with an alternate date that works for all board members.

 

Due to the Memorial Day holiday, the May board meeting will be held on Sunday, May 21 at 5:00 pm instead of the fourth Sunday of May.
